About the role:

We are looking for a high-agency Event & Field Marketing Coordinator to serve as the operational “connective tissue” for our global team. You will be the engine behind our Field Marketing initiatives, leveraging AI and automation to scale event logistics, vendor management, and procurement. This is a role for a detail-obsessed professional who wants to build efficient systems in a fast-paced, remote-first environment.

What you’ll be doing:

Field & Team Orchestration

  • Regional Field Operations Support: Serve as the central operational hub for our remote Field Marketing Managers across the Americas region. Oversee the complete lifecycle of regional event collateral and swag inventory, optimizing supply chains and workflows to guarantee seamless, friction-free daily operations.

  • Procurement & Legal Liaison: Drive the end-to-end procurement process. You will coordinate with Legal, Finance, and Procurement to shepherd contracts through approval, manage invoicing, and ensure vendors are paid on time.

  • Budget Tracking: Assist in developing event cost estimates and maintaining real-time budget accuracy across multiple regional activations.

Event Execution & Logistics

  • Customer Experience Ownership: Own the end-to-end logistics for customer-centric events (dinners, roundtables, workshops) in tight collaboration with Customer Marketing and Account Management teams.

  • Multi-Format Support: Provide logistical backbone for a diverse portfolio of events, including roundtables, industry trade shows, and co-sponsored partner events.

Data & Feedback Loops

  • AI-Driven Efficiency: Actively seek ways to use AI and automation (e.g., within Slack, SFDC, or Sheets) to streamline reporting, draft communications, and simplify repetitive administrative workflows.

We’re looking for:

  • 2+ Years Experience: Proven track record in Event Coordination, Field Marketing, or a similar high-volume Ops role.

  • Tech-Forward Mindset: You don’t just use tools; you optimize them. High proficiency in Google Workspace (Docs/Sheets) and Salesforce is required. Experience with JIRA and Slack as project management tools is preferred.

  • Service-Oriented EQ: You have a proactive  mindset. You are friendly, professional, and capable of engaging with everyone from executives to warehouse vendors.

  • Async Mastery: You are comfortable working across time zones with high autonomy. You communicate clearly and directly, defaulting to “showing your work” so the team can stay aligned.

About the Role

This is a fully remote role supporting a team in the EST time zone (9 AM–5 PM EST), with all business conducted 100% in English.

This role is the operating system of Darkroom’s marketing team. We produce a high volume of content across LinkedIn, Instagram, TikTok, X, video, blog, and email — and we run brand moments that most agencies never attempt: a Cannes Lions villa activation with 500 guests, a creator partnership program. What we need is the person who makes all of it ship on time, in the right order, on the right channel.

You will hold four responsibilities at once: marketing operations and project management, social media publishing and channel management, community engagement, and deployment — email newsletter, podcast production support, and PR distribution. You are the connective tissue between a small senior team of specialists (design, video, SEO, web) and the calendar that binds their output together. The right person is ruthlessly organized, fluent across social platforms, writes well enough to speak in our brand voice unsupervised, and treats a missed publish date as a personal offense.

You will report to the VP of Marketing and work alongside an AI analytics and reporting layer that handles dashboards and performance tracking — you bring the judgment, follow-through, and human coordination it can’t.

What You’ll Do

Marketing Operations & Project Management

  • Own the marketing content calendar end-to-end, maintained at least 4 weeks ahead across all channels — the single source of truth for what ships when.

  • Run the delivery motion for launches and announcements: every brand moment gets a plan, owners, dates, and assets tracked to publish. Nothing ships late or ad hoc.

  • Get approvals across the team and leadership, flagging bottlenecks within 1 business day.

Social Media Management & Publishing

  • Queue and publish all approved content on schedule across LinkedIn, YouTube, Instagram, TikTok, and X.

  • Own X as a channel: repurpose LinkedIn and newsletter content the same week it publishes, adapted to the platform rather than copy-pasted.

  • QA everything before it goes live: copy, assets, links, tagging, formatting.

  • Keep our scheduling tools, asset libraries, and content archives organized and current.

  • Own community engagement across Darkroom’s social channels, responding to comments, DMs, and mentions in a voice that reflects our brand.

  • Monitor social sentiment and surface relevant conversations, trends, or opportunities to the broader team.

  • Track community health and report on what is generating real conversation versus noise.

  • Maintain the creator CRM and keep it current weekly — our creator partnership program is run by the VP of Marketing, and you keep its logistics tight.

Newsletter, Podcast & PR Deployment

  • Deploy the biweekly email newsletter: build the send in the ESP, QA, schedule, ship, and report performance. Content comes from the VP of Marketing; deployment is yours.

  • Own email list management: hygiene, segmentation, imports, compliance, and growth tracking.

  • Support podcast production: guest scheduling, recording logistics, and publish coordination for the monthly episode and its clips.

  • Deploy PR moments: when Darkroom lands press (trade features, announcements, awards), you run the distribution plan across channels, coordinate timing and assets, and track coverage.

What We’re Looking For

  • 2 to 4 years in marketing operations, social media management, or marketing project management, ideally at an agency or fast-moving brand where you owned a calendar with real volume.

  • Genuine fluency across social platforms. You understand how a brand should show up on LinkedIn versus Instagram versus X versus TikTok, and you can act on that without being briefed.

  • Proven project management chops: you have run multi-stakeholder content or campaign calendars, chased approvals from busy executives, and shipped launches with hard dates.

  • Strong writing instincts. You can answer a DM, adapt a LinkedIn post for X, and flag weak copy in QA — all in the brand’s voice.

  • Deep comfort with Notion (our operating layer) and modern scheduling tools.

  • AI-native. Our team works alongside AI for analytics, reporting, and drafting — you should be excited to build workflows with it, not threatened by it.

  • Highly organized with a self-starter mindset. You manage your own workload, surface problems early, and do not need to be told what to do next.

  • Calm under volume. Launch weeks get loud; you keep the machine running anyway.

Bonus Points

  • Experience in ecommerce, DTC, or performance marketing environments.

  • You have hands-on ESP experience (Klaviyo, HubSpot, beehiiv, Substack) and can build and deploy an email end-to-end.

The Role (Contract-to-Hire)

You will be a Lead with hands on the page. No direct reports. Strategy, prioritization, and implementation are yours, end-to-end. You can count on freelancers when content production needs to scale, and on our design and tech teams when a fix needs more than just SEO. Responsibilities

In this role, you’ll:

  • Lead audience acquisition and engagement strategy for priority flagship customer events, including SIGNAL, SIGNAL World Tour, and Exec Connect.
  • Build integrated event marketing plans across email, web, paid, social, sales activation, field marketing, partner channels, internal advocacy, and other relevant acquisition channels.
  • Own event campaign calendars, messaging plans, audience segmentation, channel mix, and optimization plans in partnership with Global Events, Growth Marketing, Digital Marketing, Marketing Operations, Product Marketing, Brand, Corporate Communications, Sales, Field Marketing, Developer Relations, and regional teams.
  • Develop clear, compelling, and on-brand event marketing copy across email journeys, web pages, registration flows, sales enablement, internal communications, promotional assets, and know-before-you-go communications.

  • Partner with Corporate Communications, Social, Press Relations, Analyst Relations, Twilio.org, Developer Community, and Advertising teams to extend event reach and ensure promotional moments are coordinated across channels.
  • Develop sales activation and employee advocacy programs that equip internal teams with messaging, referral tools, enablement, and promotional moments to help drive attendance from priority accounts.
  • Build scalable event marketing playbooks, templates, best practices, reporting models, and campaign frameworks that can be reused across flagship, regional, executive, and repeatable programs.

  • This role may be eligible to participate in Twilio’s equity plan and corporate bonus plan. All roles are generally eligible for the following benefits: health care insurance, 401(k) retirement account, paid sick time, paid personal time off, paid parental leave.
